AI Chatbots for Small Business, Trained on Your Own Content

By the LaunchLen Web Solutions Team · Kitchener, Ontario

OVERVIEW

An AI chatbot that answers from your business, not the whole internet

Every small business answers the same questions over and over: “What are your hours?” “How do I book?” Each one arrives as a call, email or form message, usually mid-task.

LaunchLen Web Solutions Inc. is a Kitchener, Ontario team that builds the AI chatbot for small business that answers from your own information: your website, FAQs, policies and documents. Using an approach called retrieval-augmented generation (RAG), the chatbot is designed to answer routine questions so fewer of them reach your team. That can help reduce the cost of handling them. We also build practical AI automation for repetitive work behind the scenes. New to AI? Start with our guide to AI for small business in Ontario.

General-purpose chatbots answer from whatever their model happens to know. A RAG chatbot answers from your content, and when it can’t find the answer there, it can be set up to say so and pass the conversation to your team instead of guessing.

(“Trained on your content” is the common phrase. Technically, a RAG chatbot looks up your content each time it answers rather than being retrained on it.)

WHAT'S INCLUDED

How a RAG chatbot works (in plain English)

Retrieval-augmented generation makes an AI model answer from a specific, trusted set of information rather than only from what it learned in training. Think of handing a new employee the right page of your policy binder before they answer.

It reads your website, FAQs and documents

Your approved content is organized into a knowledge base the chatbot can search, drawing on sources such as your website, existing knowledge base, PDFs, policies, in-scope databases, shared drives and help desk. Documents and details are uploaded through our secure portal as the standard path, and the chatbot picks up from what you choose to upload. You control what you upload. Anything you don’t want it to share stays out.

It finds the relevant passage before it answers

When a customer asks a question, the system searches that knowledge base, pulls out the most relevant passages and hands them to the AI model with the question. The model answers from them.

It can show its source and hand off when unsure

A build can include citations or links to the page or document an answer came from, so customers and staff can check it. It can also include a handoff when the chatbot can’t find a good answer or the topic needs a person: the main path is a bottom-right website widget, and unresolved items can create a ticket for a specialist.

If your hours or policies change, you update the source document rather than retraining a model. The approach comes from published AI research (see Sources).

MORE WAYS WE HELP

What an AI chatbot can handle for a small business

These are illustrative examples of what we can build, not client results.

Routine customer questions by chat

A website chatbot can answer the questions your team hears most, such as hours, service area and policies, from your own pages. It can also capture enquiry details and send them where you choose.

Lead qualification and appointment booking

An assistant can ask a few qualifying questions, then route the lead to the right person or request a time. A build can include connections to booking or other business tools.

After-hours inquiries

When your office is closed, a chatbot can answer routine questions from your approved content and collect contact details for anything that needs a person.

MORE WAYS WE HELP

Beyond the website chatbot: more AI solutions

The same building blocks work behind the scenes. For example:

Document and invoice processing

Tools that read quotes, invoices and intake forms, extract key fields and draft entries for a person to approve. A build can include connections to booking or other business tools.

Internal knowledge assistant for staff

A RAG assistant that answers staff questions about policies, benefits, HR and procedures, with links to the source. Documents are uploaded through our secure portal, and access is for employees only, not the public. A build can include access controls so each person sees only what they’re allowed to see.

Email and ticket triage

AI that sorts incoming emails or tickets by topic and urgency, pulls out key details and suggests a reply or a route. Your team decides what gets sent.

AI content and SEO workflows

AI-assisted drafts of service descriptions, FAQs and metadata from your own material, with human editing and fact-checking before anything is published. It pairs with our SEO services.

Agentic workflow automation

An AI system that works through several steps, such as reading an enquiry, checking the customer record and drafting a reply for staff to approve. It can be designed with human checkpoints, limited permissions and action logging. Where off-the-shelf connectors fall short, our custom software development work can fill the gap. See how agentic AI compares with RPA and process automation.

Reporting and analytics assistant

Ask plain-language questions such as “Which services had the most enquiries last month?” and get an answer that can show the figures it used, so they can be checked.

HOW IT WORKS

How a chatbot project works

01

Discovery

Map the questions your team answers most and agree what “better” looks like.

02

Content review

Gather and tidy the content the chatbot will answer from, and decide what stays out.

03

Pilot

Build a small working version, with a person reviewing answers.

04

Launch

Go live once the pilot shows it’s helping, with handoff in place.

05

Review and improve

After launch, we provide full technical support and ongoing updates, and keep improving speed, accuracy, guardrails and hallucination reduction. It’s SaaS-based, so you run the latest version. You update the source content as your business changes.

The other AI tools on this page follow the same shape: start small and widen the scope only after the pilot earns it.

WHY LAUNCHLEN

Honest benefits and limits

Where a RAG chatbot helps:

  • Consistent answers to routine questions, drawn from your approved information.
  • Fewer repeat calls and emails for your team.
  • Cited sources, which a build can include, so errors are easier to spot.

What it won’t do, and what to plan for:

  • It can still be wrong. RAG reduces made-up answers but doesn’t eliminate them. Security guidance such as the OWASP Top 10 for LLM Applications treats misinformation as a core risk even with RAG, and recommends human oversight for critical information.
  • It’s only as good as your content. Outdated or contradictory information leads to outdated or contradictory answers, so someone needs to own the knowledge base and keep it current.
  • It needs a way out. Customers should be able to reach a person. The main handoff path is the bottom-right website widget; unresolved items can create a ticket for a specialist. Phone, email and live-chat handoff aren’t offered.
  • Your business is accountable for its answers. If a chatbot speaks for your business, its answers are your answers. Our guide to agentic AI workflows explains why.
  • Privacy needs thought. PIPEDA keeps your business accountable for personal information it sends to service providers, and the Office of the Privacy Commissioner of Canada has published principles for responsible generative AI. A build can include limits on what the chatbot can access and how long conversations are kept. Confirm your obligations with a qualified privacy advisor.
  • Documents and access carry risks. Content pulled into a RAG system can contain hidden instructions (prompt injection), and weak access controls can expose information to the wrong people. A build can include safeguards such as approved-content limits, least-privilege access, review steps and conversation logging. These are design choices, not certifications.

Works with your website and tools

We build chatbots for your website (see our guide to WordPress chatbots and AI integrations), and they can sit alongside our WordPress development work, with where they run planned through our cloud and hosting services. Native iOS and Android app development is a separate service of ours, covered under web and app development. Not sure where AI fits yet? Our IT consulting service can help you decide where to start.

Where AI isn't the right answer

We may advise against AI when the process changes every week, when a mistake would be costly and nobody can review the output, when your content is scattered or out of date, or when a better FAQ page or a simple rule-based automation would do the job. Our AI readiness checklist can help you decide.

FAQ

AI chatbot FAQ

A RAG chatbot first looks up the most relevant passages in your own approved content, then uses an AI model to write an answer based on them, often with a link to the source. A general-purpose chatbot answers from what its model learned in training, which doesn’t include your policies or procedures.

It can be set up to say so rather than guess and to hand off through the bottom-right website widget. Unresolved items can create a ticket for a specialist. Sensitive topics can go straight to a person.

Documents and details are uploaded through our secure portal as the standard path, and the chatbot picks up from what you choose to upload. You control what you upload, and a build can include limits on what the chatbot sees and how long conversations are kept. No system access is needed to start; credentials are needed only if we’re integrating an existing codebase, micro-SaaS or servers. Our guide to Canadian data residency for AI and cloud explains the basics, and for legal questions, speak with a qualified privacy advisor.

A build can include connections to booking or other business tools, depending on what those tools support. In the free consultation, we’ll look at what you use today.

It depends on scope: how much content it covers, which tools it connects to and the ongoing cost of the AI service. We scope it with you in a free consultation. Our guide to what AI automation costs explains the main cost drivers.

For the right kinds of questions, yes. A RAG chatbot suits frequent, routine questions your content already answers, so fewer of them turn into calls and emails. Results depend on your content and customers, so a project can start with a small pilot.

Yes. RAG makes answers more reliable but not perfect, which is why sources, human handoff and current content matter. Your business remains responsible for what the chatbot tells customers.

It’s designed to handle repetitive inquiries so your team can focus on work that needs a person.
